A rapidly growing healthcare organization needed HR support for daily operations when their HR Generalist went on an extended leave of absence. Soon after, their accounting contact also left the organization, leaving a gap in payroll processing.
The organization needed an expert solution to fill these unexpected gaps quickly, without sacrificing efficiency or accuracy.
Challenge
VIVO swiftly assessed the situation and identified several key challenges:
- Learning and taking over the HR Generalist’s responsibilities in a short time-frame,
- Managing payroll for an organization with 100+ employees, and
- Creating new processes and procedures to effectively assist with hiring, offboarding, FMLA administration, and payroll.

To ensure a seamless transition and avoid disruption to day-to-day operations, VIVO first stepped in as an extension of the internal team.
We began by cross-training with both the HR Generalist and Accountant prior to their departures to gain familiarity with their processes. From there, we:
- Developed and implemented new payroll procedures to streamline the process and improve accuracy.
- Assisted the organization with onboarding ~100 new employees.
- Digitized all employee files to ensure all relevant parties had access to employee documents.
Result
By first embedding ourselves in the organization’s existing structure, we helped stabilize operations during a time of change and set them up for continued growth.
